5. Plugins and Tools
E-mail sending (Mail SMTP Client)

For the reliable sending of e-mails (e.g., password reset, alert notifications), we use a mail SMTP client. E-mails are sent via an authenticated SMTP server. The data processed includes the recipient's e-mail address, the message content, and technical sending metadata. E-mail logs are stored on the server and are not passed on to third parties.

Processing is carried out on the basis of Art. 6(1)(f) GDPR (legitimate interest in the reliable delivery of e-mails).

Fonts (local hosting)

This site uses locally hosted web fonts for the uniform display of fonts. The fonts are installed on the site's own server. No connection to external servers (e.g., Google) is established in this process.

Coordinate lookup (Nominatim / OpenStreetMap)

If the coordinate lookup feature is enabled, clicking "Get Coordinates from Address" sends a request to the public geocoding service Nominatim operated by the OpenStreetMap Foundation. The entered address (street, postal code, city, country) is transmitted as a search query. Your IP address will be passed to OpenStreetMap Foundation servers in this process.

The coordinate lookup is triggered exclusively by the user and is not automated. No location data is transmitted without user interaction. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in convenient entry of geographic data within the application). This feature is only available when the application's offline mode is disabled.


6. Custom Services
Handling applicant data

We offer you the opportunity to apply to us (e.g., by e-mail, by post, or via our online application form). Below, we inform you about the scope, purpose, and use of your personal data collected as part of the application process. We assure you that the collection, processing, and use of your data will take place in accordance with applicable data protection law and all other statutory provisions, and that your data will be treated as strictly confidential.

Scope and purpose of data collection

If you send us an application, we will process your associated personal data (e.g., contact and communication data, application documents, notes taken during interviews, etc.) insofar as this is necessary for the decision on the establishment of an employment relationship. The legal basis for this is § 26 BDSG under German law (initiation of an employment relationship), Art. 6(1)(b) GDPR (general contract initiation), and — if you have given consent — Art. 6(1)(a) GDPR. Consent can be revoked at any time. Your personal data will only be shared within our company with individuals involved in processing your application.

If the application is successful, the data you submitted will be stored on the basis of § 26 BDSG and Art. 6(1)(b) GDPR for the purpose of implementing the employment relationship in our data processing systems.

Data retention period

If we are unable to make you a job offer, you reject a job offer, or you withdraw your application, we reserve the right to retain the data you submitted on the basis of our legitimate interests (Art. 6(1)(f) GDPR) for up to 6 months from the end of the application process (rejection or withdrawal of the application). The data will then be deleted and physical application documents will be destroyed. The retention serves in particular as evidence in the event of a legal dispute. If it is evident that the data will be required after the expiry of the 6-month period (e.g., due to an impending or pending legal dispute), deletion will only take place when the purpose for further retention no longer applies.

Longer retention may also take place if you have given corresponding consent (Art. 6(1)(a) GDPR) or if statutory retention obligations prevent deletion.

Data processing by social networks

We maintain publicly accessible profiles on social networks. The social networks we use individually can be found below.

Social networks such as Facebook, Instagram, etc. can generally analyze your user behavior extensively when you visit their website or a website with integrated social media content (e.g., like buttons or advertising banners). Visiting our social media presences triggers numerous data protection-relevant processing operations.
